Collecting and using personal data from customers, suppliers, and other contractors
We would like to inform you that we will collect and use the personal information you provide because it is necessary to make and carry out a possible agreement with you. This applies to both our (potential) customers and parties from whom we buy goods or services.
If you are a (potential) customer, we use your data to send you a quote, understand the specifications or needs for a specific product or service, deliver goods or provide services, send invoices, and communicate smoothly and efficiently about the details of the agreement.
If you are a (potential) supplier or other contractor, your personal data is also needed to make and carry out the agreement. In the case of purchases, this is needed to let you know the specifications or requirements for a certain product or service, send you a request for a quote, place an order, pay your invoices, and communicate smoothly and efficiently about other aspects of the agreement.
You are not required to provide your personal data. However, if you do not provide enough data, it may be impossible for us to carry out the work mentioned above.
Sharing with third parties
In order to carry out a possible agreement with you, it may be necessary for us to share your personal data with parties that supply us with parts, materials, and products, or carry out work on our behalf. Additionally, we use external server space to store (parts of) our sales and purchase administration, which includes your personal data. For this reason, your personal data will be shared with our server provider. We also use Microsoft Office and its storage services for emails and other files. Since we use a newsletter mailing service, your personal data will also be shared with the provider of this service.
Data retention period
If you requested a quote from us but did not become a customer, we will delete your personal data no later than 1 year after our last contact. Similarly, if we received a quote from you but did not become your customer, your personal data will be deleted no later than 1 year after our last contact.
If you did become our customer, or we became your customer, we will keep your personal data for 7 years after the end of the financial year in which the agreement was fully completed. This 7-year period is the time we are required to keep our records for the Tax Authority. After this period, we will delete your personal data.
Your rights
You have the right to ask us to view your personal data. If necessary, you can also ask us to add information to your data or correct any mistakes.
You also have the right to ask us to delete your personal data or limit how we use it. You can object to us collecting and using your data, or file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Lastly, you can ask us to give you a copy of your personal data or transfer it to someone else.
